FAMIS Help

• In FAMIS, check the accounting analysis code on FRS Screen 8 or 52. If the accounting analysis value is 9999, then payroll is not allowed on that account, and the account will not be sent to Workday. If the accounting analysis screen is blank on Screen 52, FAMIS will look at the accounting analysis value on Screen 8.
• Check Screen 44 or 54 for frozen or deleted flags.
• The Support Account Transaction flags on Screen 8 can also determine whether the account is sent to Workday or not. If the Expense Actual flag is set to "N," no expense transactions would be allowed, and the support account would not be sent to Workday.
• These accounts are not fed to Workday:
  • College Work Study Accounts (Active on Screen 727)
  • Agency/Fiduciary Funds (9xxxxx accounts)

• Check Screen 44 or 54 for frozen or deleted flags.
• The Support Account Transaction flags on Screen 8 can also determine whether the account is sent to Concur or not. If the Expense Actual flag is set to "N," no expense transactions would be allowed, and the support account would not be sent to Concur.

• Screen 827 – Concur Control Record

• Screen 862 – Travel Request/Authorization approvers – maintained in SSO
• Screen 919 – Information is pulled from desks on Screen 921:
  • Expense Report approvers are maintained on the DTV path.
  • Request Report approvers are maintained on the DTR path.
  • PCard approvers are maintained on the DTP path.
  • Optionally, all of the above may be maintained on the DT* path.

I can't edit the Accounting Analysis code on my PCT

The Accounting Analysis code is only editable by approvers in the PCT Processing Office.

I can't change the object code on my PCT

The correct object code is determined by the Earning Code coming from Workday. These may be seen on Screen 730 in FAMIS. Object codes for College Work Study may be changed by approvers in the PCT Processing Office.

FAMIS receives Payroll encumbrance data from Workday. This data flows through the Data Warehouse and then to FAMIS. Encumbrance data is received daily. The End-of-Month Auto-Adjust will post adjustments to encumbrances. Reductions due to vacant positions may occur. You can use the following matrix to determine if your position should encumber.

The 842 flags are determined by the respective Member Fiscal Offices. The Encumber Vacant flags can be set Y or N in any combination.

Encumbrance Posting Criteria

• Effective Dates – use the most restrictive of:
  • Costing Allocation date range
  • Position Annual Term Position
• Annual Terms
  • FAMIS will encumber based on the Annual Terms on the position.
    • Faculty, Annual Term 9/1-5/31 will only encumber through 5/31.
    • Changes have recently been implemented which will encumber Future Dated Annual Work Terms upon approval.
• Received Date - Encumbrance Data
  • FAMIS receives encumbrance data AFTER final approval in Workday.
  • The timing of business process approval in Workday may affect the encumbrance calculation in FAMIS.
  • FAMIS encumbers from the date received forward.
