Key Feature Enhancements

My Accounts (Customization and Visibility)

  • Users can fully customize My Accounts views, including selectable columns and multiple list configurations across subsidiary ledger (SL) / general ledger (GL) accounts. [05:13]
  • Added visibility for GL balances (cash, liabilities, fund balance) and bank account tracking directly within the interface. [06:49]
  • Support account (SA) structure (SL vs SL-SA) explained, including automatic creation of SAs and how balances roll up. [08:04]

Inquiry and Navigation Tools

  • Subcode inquiry screen allows cross-account searches (e.g., salary encumbrances across departments and campuses). [10:27]
  • Entitlements view was introduced to clarify user access rights and help troubleshoot missing permissions. [12:03]
  • System configuration dictionary added for viewing system-defined values by member (e.g., divisions per campus). [13:23]

New Analytical and Operational Screens

  • New AI-assisted SL-SA summary screen shows indirect cost allocation and monthly financial distribution. [15:00]
  • Payables enhancement enables vendor-based account activity tracking and voucher-level drill-downs across accounts. [17:19]
  • Receivables module expanded to include AR invoices, invoice creation and integration with TEEX and invoicing workflows. [19:58]

Fixed Assets Modernization

  • Significant upgrades to fixed asset search, filtering and categorization (e.g., software, computers, department assets). [21:28]
  • Asset transaction history expanded to include financial and non-financial changes across years. [23:07]
  • Future capability includes asset editing, location updates and inventory marking workflows. [22:09]

Integrations and Deep Linking

  • Deep linking introduced between FAMISweb and external systems like AggieBuy, Workday and Jaggaer for purchase orders, vouchers and invoices. [43:01]
  • Enables end-to-end traceability from FAMIS records to external procurement and payroll systems. [43:55]

User Support and Documentation

  • Crosswalk tool maps legacy FAMIS screens to FAMISweb equivalents and Canopy functionality. [27:18]
  • FAMIS contacts directory helps users identify security administrators for access requests and entitlement questions. [29:37]
  • Added glossary, documentation pages and tooltips to explain acronyms and system codes. [32:56]

Roadmap and Direction

  • Continued migration from Canopy to FAMISweb with eventual decommissioning of Canopy. [49:14]
  • Upcoming focus areas: budget module rollout, vendor management tools, fixed asset completion and improved inbox workflows. [48:38]
  • Development goal is full functional parity with Canopy before broader migration timelines are finalized. [49:52]

Questions and Comments (with follow-ups)

Navigation / Usability (hamburger menu vs faster navigation)

  • Question: Asked whether a command palette or faster navigation method exists instead of the hamburger menu.
  • Follow-up:
    • Suggested using view-related navigation and browser multi-tab workflows.
    • Opened the idea of potentially exploring command line–style navigation in the future.

Resource / Function Lookup Tool

  • Question: Whether there is a tool to help users look up functions or features they encounter.
  • Follow-up:
    • The FAMIS / Canopy / FAMISweb crosswalk tool is the main resource.
    • It maps legacy screens (Canopy / green screens) to FAMISweb pages and includes links.

Entitlements / Access Questions

  • Question: Who to contact for help with entitlements and access issues.
  • Follow-up:
    • Users directed to Security Administrators via the FAMIS contacts page.
    • Entitlement updates refresh hourly for existing users, with an overnight delay for new SSO access.

Acronyms / Terminology Clarification

  • Question: Whether there is a place to define acronyms used in FAMISweb.
  • Follow-up:
    • Referenced documentation pages, glossary and transaction code references.
      FAMIS reference resources
    • Tooltips and hover “question mark” icons were highlighted as in-app help.

Receivables / AR Invoices and iPayments Relationship

  • Question: Whether AR invoice creation in FAMISweb replaces iPayments.
  • Follow-up:
    • Clarification that FAMISweb is a subset / complement to iPayments (not a full replacement).
    • Each member will make the final decision on whether to allow departmental invoice creation in FAMISweb or use iPayments.
    • Some users should only view invoices, not create them.
    • Entitlement issues affecting invoice viewing and departmental access scope were noted.

Budget Changes Visibility / Timing

  • Question: Whether budget changes reflect immediately like in Canopy.
  • Follow-up:
    • Clarified that budget module data flows into the same database across systems (Canopy, Web, green screens).
    • Budget module functionality is still being migrated into FAMISweb.

Encumbrance Tracking in FAMISweb

  • Question: Whether encumbrance tracking exists like in Canopy.
  • Follow-up:
    • Confirmation of availability via SL-SA encumbrance and Payroll encumbrance pages.
    • Added deep links to AggieBuy and Workday, with authentication dependency noted.

Employee Attributes / Payroll-related Inquiry Access

  • Question: Whether entitlements can allow users without payroll access to view employee attributes comparable to legacy Screens 850 and 859.
  • Follow-up: This will be included in the General access entitlement in a coming release.

Voucher Check–cycle Details

  • Question: Can Voucher Details show check-cycle information, including check void Y/N and the reason when voided, comparable to legacy Screen 169?
  • Follow-up:
    • Voucher status is displayed on Voucher search pages once the filters display vouchers.
    • Voucher line item page is the FAMISweb version of Screen 169. Check-cycle information is included in the payment information section of this page, but the Void reason is not. We will work with the developers to add it.

Indirect Cost Page Navigation

  • Question: How to navigate to the Indirect Cost page shown during the demonstration.
  • Follow-up:
    • The Indirect cost pages are a part of the Account oversight menu, under the Sponsored research submenu.
    • See the Indirect cost (F&A) outbound allocations page.

Staff Travel Vendor Classification

  • Question: Why staff travel may appear as an external vendor.
  • Follow-up:
    • This question is directed to the External vendor ID (VID) field on FAMIS vendors.
    • All FAMIS vendors are assigned an External VID in addition to the FAMIS vendor number. The external VID is sent to Emburse to prevent sending any protected information that may be embedded in the FAMIS vendor number.

Asset Management Visibility and Entitlements

  • Question: Whether an unavailable Asset Management link means the user lacks view access, and whether directors should be able to view assets assigned to their grants.
  • Follow-up:
    • Access to view account or financial transaction pages in FAMISweb does not automatically grant access to view assets. Users need the Asset-view entitlement to see asset information. You can check your entitlements by clicking your initials in the upper right corner to access your user profile, then selecting My Entitlements.
    • If this entitlement is missing, contact your FAMIS Security Administrator (FAMIS contacts) to request access.

Account Search Access and Account Number Search Behavior

  • Feedback / request: Users asked for Account Search to be pinned or otherwise made quickly accessible from account pages.
  • Issue reported: After changing an account number and selecting Enter or Search, the page may lag or fail to display the new account until Search is selected multiple times.
  • Issue reported: The cursor may jump while editing the account number, requiring users to retype the number or select it from the dropdown. Another participant reported similar account-change behavior on multiple screens.
  • Follow-up: We will need to check with the developers on these two issues

Available Balance Displayed as Total Reserves

  • Question: Why an account may show a $0.00 available balance while the actual account balance appears under Total Reserves.
  • Follow-up: The question did not specify an account or which page had an issue. The SL-SA summary page shows the full balance available in the grid, but the highlights in the boxes above the grid show the total reserved budget and the net unreserved balance available.

Multiple Payroll Correction Transactions (PCTs)

  • Feedback / request: When routing multiple PCTs for the same UIN across different pay periods, users must return to the hamburger menu and search for the employee again. Users requested a streamlined way to create additional PCTs.
  • Follow-up:
    • This request is not in scope for the current FAMISweb roadmap, but we may consider it for future development.
    • One option is to open multiple tabs or windows while in FAMISweb by right-clicking on the menu item and selecting “Open link in new tab” or “Open link in new window.” This will leave the menu tab or window open while the PCT create page is in a new tab or window.

Payroll Corrections by UIN

  • Request: Link the UIN field in Payroll corrections to a view of all payroll records for that UIN.
  • Follow-up: On the PCT search page, after the search items are displayed, clicking on the UIN hyperlink on any PCT will take the user directly to the Payroll by UIN page for that employee and fiscal year.

Legacy Screens 44 and 54

  • Question: What is the FAMISweb delivery timeframe for functionality corresponding to legacy Screens 44 and 54?
  • Follow-up: Flag maintenance (Screens 43, 44 and 54) should be available in Release 1.13 along with the note functionality for SL-SAs and banks.

FFX / FRS Reporting and BusinessObjects

  • Question: Whether FAMISweb work related to FFX includes the proposed change to represent debit and credit as separate lines in a BusinessObjects universe.
  • Feedback: The participant noted that understanding the FFX-to-FRS connection is difficult and is further complicated by the one-day feed timing.
  • Follow-up: No changes to the Data Warehouse feed or timing are anticipated at this time.

Participant Feedback

  • Users praised the AggieBuy deep link as significantly faster than navigating through voucher numbers and the SciQuest crosswalk.
  • Users said View Related has become easier to use and appreciated being able to open multiple tabs without information changing between them.
  • Participants described tabs and View Related as helpful, while noting that some information previously appeared together on one Canopy page.
  • A search field within the hamburger menu was suggested as a basic navigation improvement.
