1) Once the effort reports are made available in the system, individuals have a maximum of 45 days to accept or reject their certifications in the system.
2) Unsigned Effort Reports – If the certification is not signed within 45 days, an e-mail reminder will be sent to the individual’s department head or designee informing that the effort certification and any necessary payroll corrections need to be completed. If the certification is still not signed after a maximum of 90 days, then an e-mail reminder will be sent to remind the individual and department head or designee warning that the sponsored project account(s) may be frozen within a certain period if the certification has not been received. It is the responsibility of each System institution or member agency to determine the appropriate course of action after 90 days.
3) Rejections – If an employee rejects the effort report because it is not correct, then it will be necessary for the employee’s department to process any required documents (such as EPA, payroll voucher correction) to correct the employee’s pay distribution and percent of effort. Once the correction is processed, a revised effort report will be generated for the employee’s review and certification.
