Subsidiary Ledger and Subsidiary Account (SL-SA): Getting the most out of the SL-SA pages

The SL-SA pages in FAMISweb provide flexible views for reviewing balances and transactions and supporting reconciliation activities. Here are a few key tips to help you get the most out of these pages

Viewing Totals and Net Balances for Reconciliation

If you are looking for a view like legacy FAMIS screens used for reconciliation:

  1. Use the SL-SA Summary page.
  2. Select your Account and Subsidiary Account (SA).
  3. Switch to the By Budget Pool view.

This view provides totals and net balance details comparable to those previously available on legacy screens.

Understanding Account Totals in Summary Views

Account totals are already available in the SL-SA Summary by using the By Budget Pool view. This view includes the same overall account balance information alongside budget-level detail

Using Year Types (Fiscal Year, Project Year, etc.)

The SL-SA Summary page supports multiple year perspectives when you use the Year Type field to switch between available year types. This allows you to quickly review balances across fiscal periods without leaving the page. Inception to Date and Project Year will be available only for accounts marked with the Project Year-end flag.

Customizing Your Transaction Views

The SL-SA transaction grid is designed to be flexible and user-configurable:

  • You can add columns that are not included in the default view (e.g., Offset Account).
  • Customized views persist for future use.
  • Customized views are included when you download data.

This allows you to tailor the transaction view to match your department’s needs or replicate older layouts.

Filtering and Searching Transactions

Filtering within the SL-SA Transactions page has been streamlined:

  • Filters are now available directly in the column headers. The inverted triangle icon in a column can be clicked to select and apply filters.
  • Filters include Subcode and other available column attributes.

For more targeted subcode searches, you can also use the Subcode Inquiry page.

Exporting and Printing Data

FAMISweb provides multiple ways to capture and share SL-SA data:

  • Excel export (.xlsx) is available for transaction and summary data.
  • A PDF download option is available on the SL-SA Summary.
  • Additional enhancements are in progress to extend PDF download functionality to:
    • SL-SA Transactions
    • SL-SA Account Statement pages
  • For quick printing, you can use Print to PDF in your browser to capture a formatted version of the page.

Working Across Pages Efficiently

Navigation in FAMISweb is intentionally designed without embedded tabs. You can open multiple pages simultaneously using:

  • Right-click > Open in new tab
  • Ctrl + click (new tab)
  • Shift + click (new window)

This approach allows you to:

  • Keep summary and transaction views open side-by-side.
  • Reduce the need to repeatedly navigate between pages.

Tips for Summary Page Comparison (Before / After Analysis)

If you frequently compare balances (e.g., before and after a journal entry):

  • Use the SL-SA Summary page.
  • Capture snapshots by:
    • Exporting to Excel
    • Using Print to PDF

This provides a simple way to retain “before and after” supporting documentation.
