General Announcements

  • Reminder: W-2, W2-C, 1042-S and 1095-C documents for tax years 2017 and earlier will be removed from HRConnect, the A&M System’s legacy human resources portal at the end of business on June 30. This is to remain in compliance with the State of Texas and A&M System document retention rules.
  • The Summer premiums process is in full swing. This is the process by which people who work less than 11.5 months are designated to pay their summer benefit premiums. Custom IDs for biweekly Employees have been loaded, and IDs for monthly Employees will be loaded May 15, 2024.  Benefit partners are working closely with Workday Services to provide the necessary information. A calendar is located on Workday Help with this year’s deadlines.

    • The Save for Summer Deductions for FY2025 are now loaded into Workday

Workday Services

Release items discussed do not reflect the entire list of updates to the Workday application in the past 30 days. What is listed below are key changes the Workday Services team would like to highlight during the meeting. For the full list of release items, navigate to the Release Notes available on Workday Help.

Compensation

  • FLSA Threshold Update
    • HROs have been notified regarding the new rule for FLSA threshold requirements that will take effect on July 1, 2024. The current threshold of $35,568 per year will increase to $43,888 per year.
    • To facilitate compliance with this new rule, Workday Services is offering mass upload (EIBs) for the following business processes:
      • Request Compensation Change — To be used for increasing the monthly salary of exempt Employees to meet the threshold of $43,888 per year
      • Change Job — To be used to change the Employee from exempt to non-exempt to stay in compliance with the new rule.
        • Note:  If this approach is taken, consideration should be given to potential impacts of benefit deductions and eligibility for 12 over 9
      • Edit Position Restrictions — To be used in conjunction with the Change Job EIB for Employees in positions that will change from exempt to non-exempt to stay in compliance with the new rule
    • To ensure that all members complete the updates on time, Workday Services will not impose the standard minimum 50 Employee threshold normally required to process an EIB.
    • IMPORTANT: If you intend to take advantage of EIBs for your processing, send completed EIB templates to support@tamus.edu no later than June 14, 2024

Staffing

  • Add Additional Job
    • Primary Job HR Partners will receive an approval step in the Add Additional Job business process when the additional job is at a different System Member based on member selection
  • Hire
    • Managers and Management Chain are no longer able to submit Direct Hires
  • New Report
    • Position and Position Restriction Details is available to HR Partner, HR View Only, Recruiting Partner, and Recruiting Partner View Only roles. This report was created in response to Senate Bill 17 (SB17) and will assist in auditing of verbiage included within Positions and Position Restriction
  • Coming Soon! HR Partner HUB. This will be released on May 23. A communication with a link to a video will be sent to HR Partners on May 27th.
