General Announcements
- Reminder: W-2, W2-C, 1042-S and 1095-C documents for tax years 2017 and earlier will be removed from HRConnect, the A&M System’s legacy human resources portal at the end of business on June 30. This is to remain in compliance with the State of Texas and A&M System document retention rules.
- The 12 over 9 Benefit Group review for FY2025 is in full swing. This is the process by which people who work less than 11.5 months are identified to pay for benefit deductions over 9 months instead of 12. Custom IDs will be loaded on June 27. Benefit partners are working closely with Workday Services to provide the necessary information. A calendar is located on Workday Help with this year’s deadlines.
- IMPORTANT: If you intend to take advantage of EIBs for your FLSA processing, send completed EIB templates to support@tamus.edu no later than June 14, 2024

- Seasonal Activity
- The Save for Summer deductions for fiscal year 2025 have been successfully loaded into Workday for the June Monthly Employees
- Quarterly Social Security Number verification process has been completed, and the corresponding files have been uploaded to the Payroll folders in File Depot
- Please complete a thorough review after Withholding Order requests are processed by our team to ensure accuracy

Benefits
- Benefit Event Update
- The Hire – Dependent Coverage Begins benefit event now includes Basic Life to ensure that it switches to Employer Paid on the SGIP date
- Graduate Fellows and Surviving Dependents
- Working Graduate Fellows and Working Surviving Dependents can now enroll in the Deferred Compensation Plan (DCP)
- Dependent Relationships
- When a Dependent’s relationship is updated from Spouse or Stepchild to Ex-Spouse or Ex-Stepchild, Workers will now see a validation warning to update the address if needed
- Worker Profile
- The Benefits section of the Worker Profile has a new tab for Dependent Details to allow benefit roles easier access to Dependent Verification information
- Onboarding and Benefits
- Benefits Partners will receive a To Do in Onboarding regarding SGIP for ACA eligible rehires
- Newly benefit-eligible Employees will receive the Benefit Start Date Additional Data Question in the Change Job business process

- Compensation Statements
- Two new statements are available for use outside of the regular September 1st merit cycle:
- Generic Compensation Statement – With Percentages
- Generic Compensation Statement – Without Percentages

- In Progress Business Processes Impacting Merit now includes a filter to only return Primary Position and the Business Process Reason column has been added

- Earning Code
- Emolument: Graduate Tuition Waiver earning code will now be withheld at the required Supplemental 22% rate

Staffing
- New Workday Feature
- HR Hub has been released and is available to HR Partners
- Newly Hired Employees
- The deadline to inquire into the issuance of a new SSN has been extended from 45 to 60 days in Guardian
- New Employees will now receive an email reminder 3 days after the hire date to begin completing assigned Onboarding steps
- The Employee’s I-9 login email will now specify that documents need to be presented on the first day of work even if they were uploaded during the I-9 workflow
