Death of Dependent

This job aid outlines the activities for a Benefits or Retiree Partner to update an Employee or Retiree’s health coverages due to the death of a Dependent.

Prerequisites

The Dependent must be listed in Workday.

Important Information

  • You must enter a Date of Death for the Dependent in Workday before initiating the Death of Dependent benefit event.
  • If the Dependent’s Date of Death is the first of the month, enter the actual Date of Death located on the Dependent record and use the following day as the Effective Date in the benefit event. For all other Dates of Death, use the actual Date of Death as the Effective Date for the benefit event.

Getting Started

Enter a Date of Death for Dependent

First, you will need to update the Dependent’s information within Workday.

  1. Navigate to the Employee’s Worker Profile.
  2. Select Benefits on the left-hand sidebar.
  3. Select the Dependents tab.
  4. Select Edit for the Dependent to change their personal information.The worker profile showing how to navigate to the dependents tab on the benefits section
  5. In the Effective Date and Reason section, enter the following information:
    • Effective Date. Enter today’s date or the date of the Dependent’s death.
    • Reason. Select Edit Dependent > Death of Dependent.The Dependent Options page showing the effective date and reason fields
  6. Scroll down to the Date of Death section and enter the Date of Death.The Date of Death section showing the date of death field
  7. Select Submit and Done.

Initiate the Change Benefits Business Process

Next, you will initiate the business process to update benefit elections for the Dependent.

  1. From the Employee’s Worker Profile, select Actions > Select Benefits > Change Benefits.The worker profile showing how to get to the change benefits link via the actions button
  2. Read all the instructions on the page and complete the following fields:
    • Change Reason. Select Death of Dependent.
    • Benefit Event Date. This should be the Date of Death unless death occurred on the first of the month. In that case, enter one day following the Date of Death.Change Benefits page displaying the change reason, benefit event date, and submit elections by fields

Note: The Submit Elections By and Open Elections for fields will auto-populate based on what was previously selected.

  1. Select Submit.

    You will receive an inbox item to Change Benefit Elections. Follow the enrollment screens to remove health coverages for the deceased Dependent and submit when finished.The Change Benefit Elections inbox itemNote: If the Dependent is also a beneficiary, the Employee can submit a Beneficiary Change Only benefit event at a later time.
    This completes the Death of Dependent business process.
