General Announcements

  • RFP for I-9 (Status Update) – Finalists chosen and demonstrations complete
  • Staffing Updates for IT Shared Services:
    • End User Support Specialist I (IT Operations) — Interviewing

Workday Functional Areas

Benefits

  • An Expiration Date is required when entering the TRS/ORP Override Custom ID to help maintain accurate enrollment
  • Select reports are now available to Benefits Partners from the Worker profile Related Actions > Benefits menu
  • It’s time to update the 12 over 9 custom ID which allows Workday to place eligible Employees in the correct benefit group for Open Enrollment. Benefits Partners are currently reviewing the list provided by Workday Services (WDS) on June 2nd.    Upcoming critical dates are:
    • June 23: Deadline for Benefits Partners to return the 12/9 Custom ID list to WDS
    • July 6: WDS loads 12/9 EIB for FY24
  • Reminder: Open Enrollment begins July 10 and ends July 31
  • Reports
    • New Report: Dependent Events in Progress — Returns dependent event business processes that are incomplete
    • Replaced Report:  Audit Differences in FSA Annual Election Amount with two new reports:
      •  Audit Differences in Health Care FSA Annual Election Amount — Returns Employees who are enrolled in a Health Care Flexible Spending Account but may over-contribute or under achieve their annual contribution goal
      • Audit Differences in Dependent Care FSA Annual Election Amount — Returns Employees who are enrolled in a Dependent Care Flexible Spending Account but may over-contribute or under achieve their annual contribution goal

Compensation

  • Compensation View Only and Compensation Partner security roles now have access to view costing allocation information
  • Three new allowance plans are now available to use:
    • Administrative Stipend ­­– Additional
    • Teaching in Excess – Prorated
    • Study Abroad

Payroll

  • The Save for Summer deductions for FY2024 are now loaded into Workday

Staffing

  • Change Job Transfers will now route the initial review step to HR Partner or HR Contact, instead of Receiving Manager, based on member selection
  • HR Partner will receive a Review step in the Edit Position Restrictions process based on member selection
  • HR Partner and HR Contact will receive a notification upon final approval of a Flexible Work Arrangement, based on member selection
  • The Selective Service, Background Check, and Degree Verification To Do’s are now consolidated into one questionnaire in the Hire Business Process
  • Reports on the Turnover Analysis tab of the HCM Executive Dashboard now include retention rates, which are defined as 1 minus the turnover rate
  • Requisition information is now included on the Business Process Events – Worker Staffing Details, New Employee Event Status Summary, and Onboarding Status Summary reports

  • 2114602 : Workday Hiring Series – Part 1: Preparing for the Hire (elearning)This course overviews the process of preparing for hiring an employee in Workday.
    • Topics include Preparing for the Hire, New Hires vs Rehires, Pre-hire Records, Pre-hire Scenarios, What is a UIN? and UIN Scenarios. This content is provided by IT Training & Development, a department of The Texas A&M University System Office. Please reach out to your local Human Resources office for any member specific processes not covered in this course. This course is part 1 of a four-part series. It is recommended to complete each course in order. Parts 2, 3, and 4 are scheduled for summer 2023.
  • Working in Workday for Employees – new version will be available soon.
  • Working in Workday for Managers – new version in development
  • New Course! HCM Core Concepts – in development. This course is targeted for anyone who has a security role. Describes the fundamentals of Workday from the perspective of HR, Payroll and Benefits personnel as they support employees.
