General Announcements
- Our biannual Workday Release goes into production on March 15th. WD2025R1 is the first release for this year. Details will be communicated as we get closer to this date. Biannual release information is available on Workday help beginning two weeks prior to the release date.
ITSS Operations
- SSN Verification Process — The verification for SSNs was completed in January as a last review for 2024 W2s and are now available in File Depot
- W2s – These will be published for employees on January 15th (except for those members who opted in for 1/30 publish dates for employees with paper copies)
- SECC Deductions for 2025 have been loaded into Workday Production
Workday Services
Release items discussed do not reflect the entire list of updates to the Workday application in the past 30 days. What is listed below are key changes the Workday Services team would like to highlight during the meeting. For the full list of release items, navigate to the Release Notes available on Workday Help.
Absence
- A new report “My Employees Forfeiting Vacation” is available for managers to view direct reports who may exceed vacation carryover limits
Recruiting
- Recruiting Coordinators can now see the Eligible for Hire field on the Candidate Grid
Compensation & Merit
- Approvals are no longer required for the Request One-Time Payment business process when a Student Organization Payment is added.
- A critical validation has been added to the Request Compensation Change business process when adding Actual End Dates on salary and hourly plans of the primary position for a Worker according to member selection.
- Updated Reports:
- The Amount field on the reports “Compensation Plan Assignments with Actual End Dates” and “Employee Academic Pay Settings by Organization” now returns correct amounts on compensation plans for workers in less than 12-month annual work periods.
- The “Compensation Plan Assignments with Actual End Dates” report also now includes a prompt to filter on Additional Positions
Staffing
- A new Change Job Reason, Transfer – Reorganization, has been added. This Reason is only available to HR Partners.
- Change Job now has a warning validation to remind initiators to end any active Flexible Work Arrangements when an Employee is transferring companies.
- The Employee Work Authorization Documents Expiring notification in Guardian now includes the fields Occupation Class and HR Group
- Five new Change Job Templates have been created: Student Position Reclassification, Hours or Work Period Change, Job Profile Change, Position and Business Title Change, and Location Change
- The Correct Worker Start Date business process now contains defaulting rules for Termination, Add Additional Job, and End Additional Job to prevent delays in the process
