IT Operations & Support
- 2025 W-2 Process: Preparations are ongoing, and communications with member W-2 representatives are In Progress. Testing will begin next month.
- Sterling/First Advantage Transition: Management of the background check application First Advantage/Sterling is currently transitioning from Workday Services Recruiting to the IT Operations and Support team.
- Reminder: SSN Quarterly Verifications will be completed in the first week of December.
- Guardian’s 60-day Deadline to Inquire into Issuance of New SSN after I9 Completion Date is now set to 90 days.
Workday Services
Release items discussed do not reflect the entire list of updates to the Workday application in the past 30 days. What is listed below are key changes the Workday Services team would like to highlight during the meeting. For the full list of release items, navigate to the Release Notes available on Workday Help.
Benefits
- Workday now prohibits the use of the ORP – Already Enrolled benefit event unless the employee has responded “yes” to the Insurance and Retirement Benefits Eligibility question, “Were you enrolled in ORP at your last place of Texas State employment?”
- Updated Reports:
- The report, “Employees Becoming Benefits Eligible,” now includes employees with multiple jobs if the primary job is not a benefits-eligible position, but the additional job(s) is eligible for benefits.
Time & Absence
- Employees will no longer be notified when Suspension with Pay time off is submitted on their behalf
- Managers will receive bi-weekly alerts for time entries pending approval
- Help text has been added to the Time Request business process to clarify that the process is used to request overtime
Talent & Performance
- Talent Partners can now archive goals on behalf of employees they support
Recruiting
- External career sites now display a reminder that current employees should apply through the Jobs Hub in Workday
- External applicants can now create a candidate account using their Google or Apple ID
- Recruiting Partners, HR Partners, and HR View Only roles can now view Offer Letters stored under an Employee’s Documents tab in the Worker Profile for the employees they support.
- The withdraw application confirmation message now warns candidates that they cannot reapply to a position after withdrawing their application
Compensation & Merit
- College and University Professional Association (CUPA) Survey mappings have been updated for FY2026.
Staffing
- A new Contingent Worker Type has been added: Non-Affiliated Graduate Student
- The Assign Roles step in the Change Job business process now triggers when an Employee moves to a new position within the same supervisory organization
- In the Termination business process a review step will now route to Benefits Partner when Reason is Death
- In the Personal Information Change business process the Payroll Partner will now receive the To Do: Update Glacier or Foreign National Payroll Tax System, based on member selection
