Why can’t I add a dependent grandchild to coverage?

Dependent grandchildren must be certified annually on May 1st of each year to be eligible for coverage. New grandchildren must have a current issue date entered to be eligible for benefits, then recertified each May 1st.  This is a policy set by System Benefits Administration and is the same for all workstations.

To certify a dependent, please use the Certify Dependents job aid found on Workday Help.

Note: When editing the Other ID’s section, you must expand the “details” section to add/edit the issue date (this is often missed).

Cause: The user may have missed one of the following:

  1. Did they add the custom ID to the dependent? Sometimes they add it to the Worker record instead. You can see if it is on the Worker record by looking at the Employee’s “IDs” within their “Personal Data” from their profile.
  2. Does the custom ID have an issue date of the current date? If it is an old date, it may no longer be valid. If this is the case, the Benefit Partner will need to request new certification documentation, and then they will update the issue date on the dependent certification custom ID (using the job aid). To view the dependent record, first navigate to the Employee’s Worker Profile and select Benefits. Select the “Dependents” tab. Select the highlighted dependent name to view the details. At the bottom, select the “Other IDs” tab.
  3. Is the dependent grandchild under age 26 or disabled? Dependent grandchildren are only eligible if they are under age 26 OR have been certified as “disabled.”
