Dependent grandchildren must be certified annually on May 1st of each year to be eligible for coverage. New grandchildren must have a current issue date entered to be eligible for benefits, then recertified each May 1st. This is a policy set by System Benefits Administration and is the same for all workstations.
To certify a dependent, please use the Review and Certify Dependents job aid found on Workday Help.
Cause: The user may have missed one of the following
- Did they add the Verification Status to the dependent? You can view the Dependent Verification Status by navigating to the Dependent Record. Verification Status is at the bottom under the Dependent Verification tab.
- Does the Dependent Verification Status have a current issue and expiration date? If the Verification Status Date is before May 1st, or the Verification Status Expiration Date has passed, the Verification Status is no longer valid. In this case, the Benefit Partner will need to request new certification documentation, then update the Verification Status.
- Is the Dependent Grandchild under age 26 or Disabled? Dependent Grandchildren are only eligible for benefits coverage if they are under the age of 26 or have been certified as Disabled. Dependent Age and Disability Status can be viewed on the dependent record.
Note: To view the Dependent Record, navigate to the Worker Profile and select Benefits on the left-hand side. Select the Dependents tab, then select the name of the Dependent to open their record.
