November 6, 2024

    • Time:  2 – 3 p.m.
      Microsoft Teams Meeting
      Welcome & Roll Call
    • CUPA (College and University Professional Association) HR Surveys – Sri Kamarthi
      • Compensation Survey Jobs and Matches Workday report can be used to complete the survey
      • Data collection began on 11/4 and due date is 1/9/2025
      • Updates for the survey will be completed by 11/14/2024
    • Ability of Managers to initiate Compensation Changes – Sri Kamarthi
      • Currently Managers can initiate compensation changes for all employee types.
      • Should access be removed from Managers?
      • Workday has the ability to remove Managers to be able to initiate compensation changes and this would be applicable to all employee types and would be system wide change (no opt-in/out) as it is a security update.
    • Q&A
      • Q: TAMU – Is it good practice to have HR not involved in these compensation actions?
        • A: Tarleton – Does not advocate for removing managers ability to make comp changes, but want to explore other avenues of oversight
        • A: TAMUS – Would vote to remove managers access
      • Q: TAMU – Can we have WD have a hard stop so the managers are unable to submit comp changes.
        • A: Yes, the manager will have access to enter the comp change and will get a message to contact HR at the end of the process.
    • Merit Plan Assignment Updates – Sri Kamarthi
      • Current Behavior: Merit Plan is automatically removed during Change Job (Transfer, Promotion, Job Classification Change etc.)
        • Causing issues with employees being removed from the merit module automatically
        • Changing a comp grade on the job profile during merit takes the employee out of the merit module
        • When a faculty member receives promotion, then the merit plan is being removed •
      • Proposed Behavior: Keep the merit plan assigned
        • Workday Services will run an automatic merit plan removal process to remove the merit plan from ineligible employees
          • Employees who moved from one member to another
          • Reduce employees with multiple merit plan assignments
    • Q: Any negative impact to someone employed with another system member?
      A: No, the manager will have a different plan

      • Vote: Do you support updating Merit Plans assignment and removal process?
        • All votes are yes
      • Next Steps:
        • Discussion with Merit Working Group
        • HCM Advisory Council meeting for January 14, 2025
      • Actual End Dates on Salary/Hourly plans – Sri Kamarthi• A validation will be added as an Opt-In/Out for TAMU, HSC, TAMUG to prevent using the end date on the salary/hourly plans• This validation will not impact the end dates that are already present• Discussion: Hide Actual End Date and Expected End Date fields in Change Job business process. End Dates should only be managed using Request Compensation Change business process.
    • Student Organization Payment Routing – Sri Kamarthi
      • In Request One-Time Payment business process, Student Organization Payments currently route to Manager, Department Head and Executive Approver
      • TAMU submitted an enhancement request to update routing so Student Organization Payments do not route to anyone
        • Class & Comp receives a payment form from Student Organization Finance Center (SOFC) and approvals are already completed prior to entering in Workday.
    • Validation for Compensation Change Reason – Sri Kamarthi
      • TAMU has submitted an enhancement request to only allow a specific change within the compensation change business process based on the reason
      • Other Salary Action: update salary only, no allowance
      • Allowance Adjustment: update allowance only, no salary
        • Temporary salary increase allowance needs to be added only when Allowance Adjustment reason is selected
          • Other Salary Action: update salary only, no allowance

    • New Total Rewards Statement – Sri Kamarthi
      • Workday has updated the Total Rewards Statement to make it easier to understand and navigate with a complete redesign of the user interface.
      • Demo of new Total Rewards Statement
      • Next Steps:
        • Discussion with Benefits Working Group before end of the year
        • Discussion and approval with Compensation Working Group before end of the year
        • HCM Advisory Council meeting for January 14, 2025
        • Continue working with Compensation Working Group and Benefits Working Group for refining language and other updates as needed
        • Complete rolling out new Total Rewards Statement in April/May 2025
