Viewing Course Assignment, Withdrawal, and Completion Reports (for a single course)

The Reports by Course page allows you to view various reports for a single course, including:

  • Course Assignments By Course
  • Course Assignments By Course – Excel Layout
  • Course Assignment Withdrawals By Course – Excel Layout
  • Course Completions By Course
  • Course Completions By Course – Excel Layout
  • Course Completion Withdrawals By Course – Excel Layout

Note: Some of the reports are available in two formats: a standard version and an Excel layout. The standard version is designed for easy printing and review, while the Excel version organizes data into columns, allowing for sorting and filtering. Viewing a Course Assignments by Course Report

The Course Assignments by Course Report allows you to view incomplete course assignments. It is often used to help monitor required training compliance.  You can view all assignments for a unit (including both past due and not yet past due), past due assignments only, or not yet past due only.

  1. You can either A) click on the Search tab then select Courses or B) hover over the Search tab and click on Courses.
  2. Search for and select a course. Note: To learn more about performing a course search, refer to the Performing a Course Search page.
  3. Once you have selected a course, the Course Overview page displays. Click on the View Reports tab.
  4. The Reports by Course page displays. Select the Course Assignments By Course—OR— Course Assignments By Course – Excel Layout option in the Report field drop-down menu.
  5. Select or enter the desired values in the Report Parameters section. You can filter by:
    1. Workstation
    2. Adloc
    3. Past Due (You can choose to show all assignments, past due assignments only, or non-past due assignments only. The default is to show “All”.)

NOTE: The Workstation and Adloc parameters cannot be left blank. You must select a Workstation before you can choose an Adloc.

  1. Once all selections have been made, click the View Report button on the right side of the report parameters section. TrainTraq assembles the report based on the chosen parameters and displays the results at the bottom of the page.

NOTE: Depending on your computer’s screen resolution, the main TrainTraq window and the Workstation/Adloc Reports page results section may have vertical and horizontal scroll bars present. To ensure you do not miss any information in the report, scroll all the way to the right and to the bottom of each report page if you are only viewing the report on-screen.

  1. Click the Export button for report export options. A drop-down menu will appear with various export formats including:
    1. Microsoft Excel (.xlsx)
    2. PDF (.pdf)
    3. Accessible PDF (.pdf)
    4. Comma Separated Values (.csv)
    5. Microsoft PowerPoint (.pptx)
    6. Microsoft Word (.docx)
    7. Web Archive (.mhtml)
    8. XML (.xml)

    1. Click on the desired export format. It will save to your Downloads folder.
    2.  A notification will appear from the download icon in the upper right-hand corner of the page and to the right of the Adloc parameter field. Click on the notification to open the report.

Viewing a Course Assignment Withdrawals by Course Report

The Course Assignment Withdrawals by Course Report allows you to view course assignments that have been withdrawn. Assignments can be withdrawn in one of two ways: 1) Manually by someone such as a manager or department/workstation processors; or 2) Automatically by TrainTraq. TrainTraq automatically withdraws assignments whenever an employee changes to an inactive status such as Terminated or Retired. This report can be helpful in troubleshooting what happened to an assignment.

  1. You can either A) click on the Search tab then select Courses or B) hover over the Search tab and click on Courses.
  2. Search for and select a course. Note: To learn more about performing a course search, refer to the Performing a Course Search page.
  3. Once you have selected a course, the Course Overview page displays. Click on the View Reports button.
  4. The Reports by Course page displays. Select the Course Assignment Withdrawals By Course option in the Report field drop-down menu.
  5. Select or enter the desired values in the Report Parameters section. You can filter by:
    1. Workstation
    2. Adloc
    3. Withdrawal Range Start Date
    4. Withdrawal Range End Date

NOTE: The Workstation and Adloc parameters cannot be left blank. You must select a Workstation before you can choose an Adloc.

Viewing a Course Completions by Course Report

The Course Completions by Course Report allows you to view all employee completions in the selected workstation/adloc within a specified time frame.

Note: For an employee to appear in this report, their primary PIN must have been associated with the selected workstation/adloc at the time they completed the course.

Also, if the report is too large, you may encounter an error message. If this happens you can either change your filters to pull less data, use a tool such as BusinessObjects to generate the report, or request a report through TrainTraqHelp@tamus.edu.

  1. You can either A) click on the Search tab then select Courses or B) hover over the Search tab and click on Courses.
  2. Search for and select a course. Note: To learn more about performing a course search, refer to the Performing a Course Search page.
  3. Once you have selected a course, the Course Overview page displays. Click on the View Reports button.
  4. The Reports by Course page displays. Select the Course Completions By Course —OR— Course Completions By Course – Excel Layout  option in the Report field drop-down menu.
  5. Select or enter the desired values in the Report Parameters section. You can filter by:
    1. Workstation

    3. Completion Range Start Date
    4. Completion Range End Date

Viewing a Course Completion Withdrawals by Course Report

The Course Completion Withdrawals by Course report lists completion records for the course that were withdrawn. This might happen if someone accidentally entered an incorrect course number or UIN when manually recording a completion.

  1. You can either A) click on the Search tab then select Courses or B) hover over the Search tab and click on Courses.
  2. Search for and select a course. Note: To learn more about performing a course search, refer to the Performing a Course Search page.
  3. Once you have selected a course, the Course Overview page displays. Click on the View Reports button.
  4. The Reports by Course page displays. Select the Course Completion Withdrawals By Course – Excel Layout option in the Report field drop-down menu.

  1. Select or enter the desired values in the Report Parameters section. You can filter by:
    1. Workstation
    2. Adloc
    3. Withdrawal Range Start Date
    4. Withdrawal Range End Date
