Active Positions

The assignment engine has access to the entire population of current and former TAMU System employees.

As a rule, the assignment engine will only make assignments to employees in active BPP positions.  An employee is in an active BPP position when they (i.e. their UIN) are the current occupant for a budgeted or wage position.  Employees are moved in and out of these positions via one of two processes:

  • Action taken via EPA documents.
  • Direct data entry into BPP

Let’s look at this through an example.  Suppose today is January 5th, and you are hiring a new employee to begin work on February 1st.  You will process an EPA to put that employee into a position.  That EPA will have an effective from date of February 1st.  Assuming that EPA is approved and completed:

  • Prior to February 1st the employee is not in an active position.
  • On February 1st, the employee is now considered in an active position.
  • If the position was previously held by another person until January 31st, that person will become inactive at the same time the new person becomes active.

Notes on BPP Employee Status

The BPP employees status field can be an unreliable data element and is not used in TrainTraq.  It is often unreliable due to timing issues as to when it is set.  Also, an active employee can erroneously be in “T” for terminated status and still be paid.  This is why the “active position” test was used instead of employee status.

Notes on Employee Terminations

In the past, particularly with wage positions and student workers, employees were left in active positions long after they completed employment.  Since no hours were reported on his or her timesheet, the payroll system and payroll office did not care.  However, now with TrainTraq it is important the terminated employee be removed from their positions in BPP in a timely manner.
