Guardian Security
Members are responsible for maintaining the security authorization process and documentation for Guardian I-9 user accounts. The member I-9 Administrator is an important role in managing Guardian security and can help determine which roles are needed based upon a member’s procedures and processes.
Guardian Roles
There are two types of administrative roles or user accounts in Guardian I-9.
- Full-Featured HR – This user account is generally used when the Form I-9 process is centralized
- Location Manager – This user account is generally more suited for decentralized Form I-9 processing
Requesting Access
Members should have the employee sign a Statement of Responsibility form and obtain approval from a member Authorized Security Requester at their location.
Members must submit an email to support@tamus.edu to have the Guardian I-9 application link added to the Single Sign On menu for either HR User type account.

Monthly Role Review
The Authorized Role Reviewer (ARR) regularly audits the Guardian roles to ensure that the assigned permissions are appropriate.
The member I-9 Administrator will regularly access a report called Audit-Active HR Users and Admin Flag. This report lists the active users with either Full Featured HR or Location Manager HR roles and the permissions and privileges for the member location. The member I-9 administrator will notify the Application Security Officer (ASO) at their location once the review has been completed. The member I-9 administrator will edit or retire user accounts in Guardian as determined necessary.
