Managing Temporary TRS IDs in HRConnect
As discussed last month, a new HRConnect screen has been developed that will allow System TRS Processors to manage an employee’s Temporary TRS ID once the ID has been obtained from TRS.
To get started, please review the new screen’s documentation on the HRConnect help site.
The new HRConnect screen allows you to update an employee’s Temporary TRS ID. After making a change, the updated ID can be viewed in BPP on Screen 104.
Note that this screen is only available to HRConnect Central Administrators. If you currently do not have the Central Admin role in HRConnect, please contact support@tamus.edu to have this set up.
TRS’ Instructions for Obtaining a Temporary TRS ID
The instructions below were provided by TRS for our use:
If a member does not have a Social Security Number, contact TRS so that we may assign an ID number to be used until the member secures a Social Security number.
Send an email to: Sally Schubnell (sally.schubnell@trs.texas.gov) and CC Melody Austin (melody.Austin@trs.texas.gov) and Katie Tucker (katie.tucker@trs.texas.gov)
Subject Line: Request for Temporary ID Number, #0000 (your 4 digit TRS Number)
List the name of each member for whom you are requesting an ID # in the following order: Last Name, First Name, Middle Name and DOB
When the member receives the Social Security number, submit an MD25, Demographic Adjustment record, through the Member Data report to change the TRS-assigned ID number to the new Social Security number.
You must successfully change the TRS-assigned ID number to the new Social Security number BEFORE you report any information under the new Social Security number. If these steps are not followed, you will be creating a second account for the same member.
TRAQS Processing
In TRAQS, the MD25 record can be processed as usual by contacting SO-BPP-Production.
Please do not submit any transmissions to TRS until your employees’ Temporary TRS IDs have been assigned.
Depending on when you received your employees’ Temporary TRS IDs, an updated MD file may need to be requested in order for the new Temporary TRS IDs to be used.
