This error primarily happens in September/October. The error occurs when the RP (payroll report) does not match the compensation unit when the ED position record was reported.
In the reported case, an employee was employed in a additional job in Workday for the summer months. However, the job was added without a compensation plan. The A&M System’s TRS Team integration currently assumes that the employee is compensated on an hourly basis if there is no compensation plan, so this employees position data in TRS was changed to an “H” (hourly) pay unit. However, the when the employee was paid for the summer months in Workday, the payments were recorded in Workday in salary (not hourly) units.
Corrective Action:
- Edit the position (ED45) for the fiscal year and change the pay unit to match the payroll unit. In the above case, the pay unit should be set back to “H” (hourly).
Best Practice moving forward:
- Enter a compensation plan when additional jobs are created in the summer. Match the Workday compensation type to the regular appointment.
