Error Code 163 – Position Code in Error

Error Message

An ED40 record is not found for reported position code <XXX>. A different position code <XXX> exits for the member with the Reporting Entity.

Verify employee’s correct position code. If employee’s correct position code does not match the position code listed on original ED40 record, then submit ED45 record to correct the position code. If the position code listed on the original ED40 record is correct, then edit position code to match.

TAMUS Notes

TAMUS has seen this error in the following cases:

  • Case 1: Employees was compensated (paid) in the payroll system without a position being created in BPP or Workday.
  • Case 2: The compensation created in BPP or Workday does is not linked to a position number (PIN).
  • Case 3: An ED45 record is submitted for Fiscal Year 2017 (before the 9/1/2017 implementation of TRS team)

Cause of error

TRS TEAM requires a position record for all reported compensation.

This error can also occur if the position code provided on the RP20 or RP25 record does not match the position code that TRS has on file for the ED40 record.

Workaround / Resolution

Case 1 above:

  • You may need to manually create an ED40 record for this employee to allow the RP record to be connected to a position.  TRS TEAM portal allows you to create ED 40 records inside the portal.  Work with your payroll office and ensure that all employees that are compensated have a position record in BPP or Workday.
  • You may need to change the position ID on the RP20 or RP25 record to match the position code that TRS has on file.

Case 2 above:

  • You may need to change the position code on the RP20 or RP25 record to match the one TRS has on file.  Check with your TRS coach to determine the proper position code.

Case 3 above:

  • You may need to change the position code on the RP20 or RP25 record to match the one TRS has on file.  Check with your TRS coach to determine the proper position code.
  • When this error occurs on an RP25 record for a period prior to 9/1/2017, you will need to use the position code that was last reported in TRAQS.  You may need to obtain this from your TRS coach or you may contact System Enterprise Applications for assistance in determining this position code.
  • Note: the error message itself may contain the information on the correct position code to use.
