Member I-9 Administrator
In June 2019, the HCM Advisory Council gave approval to have up to two individuals per member designated as a Member I-9 Administrator in Guardian I-9. These individuals set up new user accounts, inactivate user accounts, train others at their member, and take action to support dual-employment and transfers. The individuals are generally part of the Workday governance process and members of the I-9 Working Group.
I-9 Administrator Responsibilities
To be an I-9 Administrator, the individual must complete a Statement of Responsibility form and obtain approval by the Authorized Security Officer is required and maintained by the member as with other Guardian I-9 user roles.
- Secure appropriate approval from management to perform administrator duties in Guardian I-9
- Complete the training course in TrainTraq “2113939: Guardian I-9 Administrator Training“
- Assure member maintains two individuals assigned to be administrator
- Attend an initial and annual training webinar
- Be knowledgeable and stay informed of Form I-9 and E-Verify compliance
- Provide training and information to individuals involved with Form I-9 and E-Verify processes appropriately tailored for the individual’s responsibility
- Receive and maintain SORs for Guardian I-9 user accounts
- Add, maintain and retire user accounts in Guardian I-9
- Periodically audit users to assure appropriate access and permissions based on responsibility
- Perform duties in the Authorized Role Reviewer app
- Take action to resolve issues in Guardian I-9
- Edit employee record as necessary for dual employment and transfer
