USB drive into your computer, power cycle, and then utilize hacking software to read files on your computer. \u00a0For this reason and others your computer should incorporate some sort of\u00a0<em>disk encryption.<\/em> \u00a0Once the data is encrypted it is inaccessible to this type of hacking.<\/p>\n<p>You should encrypt either your entire hard disk, or at the very least encrypt those folders that you use to hold the sensitive information while you work on it. \u00a0You should also be sure that the\u00a0<em>download\u00a0<\/em>folder for your browser(s) are encrypted because this is the default location for payroll and other sensitive files downloaded from FileDepot. \u00a0Two Microsoft products that are commonly used are BitLocker, which encrypts the entire disk, and EFS (Encrypting File System) which encrypts selected folders. \u00a0There are also other products out on the market. \u00a0Contact your IT Department for their recommendations and for installation. \u00a0Several BPP employees have requested our local system administrators to enable BitLocker encryption on our workstations and have noticed no degradation in performance and in fact no unusual behavior at all.<\/p>\n<p><strong>Best Practices For\u00a0<em>Complete Deletion <\/em>of\u00a0Sensitive Information<\/strong><\/p>\n<p>One might assume, wrongly, that if a file is deleted (moved to the Recycle Bin) and then emptied from the Recycle bin that it and it&#8217;s sensitive data would\u00a0be effectively erased from your computer. \u00a0The fact is that this file can still be retrieved using special utilities. \u00a0To ensure that this\u00a0sensitive data is completely destroyed it is necessary to use a special application that effectively &#8216;shreds&#8217; the storage locations on the disk by writing random data over those locations. \u00a0These applications are called\u00a0<em>shredders\u00a0<\/em>and they make the original content irretrievable. \u00a0Again, we suggest that you contact your local IT administrators for recommendation and installation of shredder software. \u00a0One such application is called simply &#8216;File Shredder&#8217; (http:\/\/www.FileShredder.org) and is being tested by System Office BPP employees.<\/p>\n<p><strong>Using a Shredder With File Depot Files<\/strong><\/p>\n<p>This section describes how to practically handle and delete sensitive files downloaded from File Depot using a specific shredding application.<\/p>\n<ol>\n<li>Installation of File Shredder v2.5: \u00a0For this example we use the file shredder available\u00a0<a href=\"http:\/\/fileshredder.org\/\" target=\"_blank\" rel=\"noopener noreferrer\">at this website.<\/a>\u00a0 Be sure to use the download button that is below the Donate button. \u00a0After download, open the installer file and execute it. \u00a0You will need administrative access to install this application and therefore may require the assistance of a local system administrator. \u00a0Follow the standard instructions supplied with the installation process. \u00a0As part of the installation process new context menus will be added to your Explorer application that will allow you to easily shred files by simply right clicking on them.<\/li>\n<li>Download a file from FileDepot: \u00a0Log on to FileDepot through normal means and navigate to a repository that contains files with personal information. \u00a0This can be any file that you typically use that contains payroll or tax information. \u00a0Make note of the file location to which the downloaded file is actually saved, which is typically the Download folder of your browser.<\/li>\n<li>Use the file as you would in your typical workflow.<\/li>\n<li>When finished with the file you will want to shred it electronically. \u00a0Open the folder which contains the file you wish to delete:<br \/>\n&#8211; For Chrome on Windows you can simply press Ctrl + J to list your downloads. \u00a0Click on the &#8216;Show in folder&#8217; link under the file you need to shred. \u00a0This will launch an Explorer window that will have your specific file of interest selected.<\/li>\n<li>In the Explorer window, right-click on the file to be shred and select &#8216;File Shredder&#8217; from the context menu followed by the sub-menu &#8216;Secure delete files&#8217;. \u00a0Select &#8216;OK&#8217; to confirm. \u00a0You may or may not actually see a File Shredder dialog box pop-up and display the status of shredding your files; Request<\/h2>\n<div class=\"tabcontent\">\n\n<h1>Request access to the remote desktop<\/h1>\n<p>The BPP SQL database and the ALVA application are both hosted on a remote desktop. A Texas A&amp;M NetID account is needed to log in to this computer. NetID accounts can be requested on this webpage, <strong><a href=\"https:\/\/gateway.tamu.edu\/netid-activate\/\">https:\/\/gateway.tamu.edu\/netid-activate\/<\/a><\/strong><\/p>\n<p>Additionally, a Statement of Responsibility (SOR) form needs to be submitted before access is granted to the remote desktop. The form is on this page,<strong> <a href=\"http:\/\/it.tamus.edu\/bpp\/forms\/request-forms\/\">http:\/\/it.tamus.edu\/bpp\/forms\/request-forms\/<\/a><\/strong>.<\/p>\n<p>Once access has been approved, a connection to the remote desktop can be established.<\/p>\n<p>When connecting to the remote desktop from outside of the TAMU network, it will be necessary to first create a Virtual Private Network (VPN) connection. This page explains how to install the necessary VPN software, <strong><a href=\"https:\/\/tamu.service-now.com\/tamu-selfservice\/knowledge_detail.do?sysparm_document_key=kb_knowledge,KB0010938%20v1.0&amp;sysparm_searchtable=kb_knowledge\">https:\/\/helpdesk.tamu.edu\/Connecting\/VPN\/index.php<\/a><\/strong> (This installation may require assistance from an on-site IT administrator.)<\/p>\n<p>When connecting to the remote desktop from within the TAMU network, a VPN connection is not required.<br \/>\n\n<\/div><h2 class=\"tabtitle\">2. Create<\/h2>\n<div class=\"tabcontent\">\n\n<h1>Create a new Access database<\/h1>\n<p>This process will create a new personal BPP SQL Access database on the remote desktop.<\/p>\n<p>Connect to the remote desktop.<\/p>\n<p>Click the &#8220;Start&#8221; button.<br \/>\nType &#8220;access&#8221; in the search box above the &#8220;Start&#8221; button.<br \/>\nSelect the program, &#8220;Microsoft Access 2010&#8221;.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"http:\/\/it.tamus.edu\/bpp\/wp-content\/uploads\/sites\/7\/2015\/07\/070215_2314_TAMUSRemote11.png\" alt=\"\" width=\"305\" height=\"358\" \/><\/p>\n<p>&nbsp;<\/p>\n<p>If this is the initial set-up, a prompt to confirm the username and initials may display. Verify and press the &#8220;OK&#8221; button.<\/p>\n<p>If prompted with a &#8220;Welcome&#8221; window, choose the recommended or default setting and press the &#8220;OK&#8221; button.<\/p>\n<p>If prompted with a &#8220;User Account Control&#8221; window, click the &#8220;No&#8221; button. Close the warning message that displays.<\/p>\n<p>&nbsp;<\/p>\n<p>Access should open to the screen below. This will link each of the fields in the BPP tables to the new Access database. Copy<\/h2>\n<div class=\"tabcontent\">\n<\/p>\n<h1><a name=\"A1\"><\/a>Copy an existing Access database<\/h1>\n<p>This process is for copying an existing Access database from the local computer to the remote terminal.<\/p>\n<p>On the local computer, navigate to where the existing BPP SQL Access database resides.( It is usually in the folder, &#8220;C:\\Users\\youraccount\\Documents&#8221;.) This file can then be copied to the local computer for printing.<\/span><\/p>\n<p><span style=\"font-size: 14pt\">The two choices are &#8220;CutePDF Writer&#8221; and &#8220;Microsoft XPS Document Writer&#8221;.<br \/>\n<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt\">To choose one of these options, click the &#8220;Print&#8221; button as normal.<br \/>\n<\/span>Select either print choice and click the &#8220;Print&#8221; button.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"http:\/\/it.tamus.edu\/bpp\/wp-content\/uploads\/sites\/7\/2015\/07\/070215_2314_TAMUSRemote33.png\" alt=\"\" width=\"386\" height=\"350\" \/><\/p>\n<p><span style=\"font-size: 14pt\">When the new window opens, in the &#8220;Save in:&#8221; drop-down menu, navigate to where the file should be saved.<br \/>\n<\/span>In the &#8220;File name:&#8221; box, enter a name the file should be saved as.<br \/>\n<span style=\"font-size: 14pt\">Click the &#8220;Save&#8221; button.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"http:\/\/it.tamus.edu\/bpp\/wp-content\/uploads\/sites\/7\/2015\/07\/070215_2314_TAMUSRemote34.png\" alt=\"\" width=\"397\" height=\"322\" \/><\/p>\n<p><span style=\"font-size: 14pt\">Navigate to where the file was saved on the remote desktop. They will email you once your password has been reset.<\/p>\n<p>Once you have been notified, you may then log into the B\/P\/P System with your BPP UserID using the default password. (The Authorized Security Requestor for BPP at your location can tell you the default password if you forget.) An on-screen message will prompt you that your password has expired and that you should enter a new password.<\/p>\n<p>A BPP UserId password has 4 characteristics,<\/p>\n<ul>\n<li>It must be exactly 8 characters<\/li>\n<li>It must contain both letters and numbers.(no special characters are allowed)<\/li>\n<li>It cannot be one that you have previously used.<\/li>\n<li>It cannot contain common Aggie words like \u2018gigem\u2019, \u2018aggie\u2019, etc.<\/li>\n<\/ul>\n<p>You will then confirm this new password by entering it again.<\/p>\n<p>Every 90 days, the password will automatically expire and you will need to create a new one.
