[{"id":425,"date":"2018-12-11T16:49:18","date_gmt":"2018-12-11T16:49:18","guid":{"rendered":"http:\/\/tamuserpstage.wpengine.com\/traintraq\/?p=290"},"modified":"2025-04-04T08:44:51","modified_gmt":"2025-04-04T13:44:51","slug":"assignment-rules-vs-employee-groups-which-do-i-use","status":"publish","type":"faq","link":"https:\/\/it.tamus.edu\/traintraq\/faqs\/assignment-rules-vs-employee-groups-which-do-i-use\/","title":{"rendered":"Assignment Rules vs. Employee Groups: Which Do I Use?"},"content":{"rendered":"<h2>Assignment Rules<\/h2>\n<p>Assignment rules are useful when you need an automatic way to detect when an employee needs to take a certain course.\u00a0 Below are some examples of situations in which assignment rules are useful:<\/p>\n<ul>\n<li>A certain course needs to be retaken every 12 months. An assignment rule can be used to detect when it is time for a particular employee to retake the course.<\/li>\n<li>A set of employees needs to take a particular course.\u00a0 However, some of them have taken the course already.\u00a0 An assignment rule is able to check for a prior completion and assign the course only if the employee has not completed it before (or within a specified time period).<\/li>\n<\/ul>\n<p>There are two methods for defining a set of employees:\u00a0 Search Criteria or Employee Group.<\/p>\n<p>When using the Search Criteria method, you describe the employees based on information from Workday, such as an employee\u2019s:<\/p>\n<ul>\n<li>TAMUS Member;<\/li>\n<li>ADLOC;<\/li>\n<li>Title Code<\/li>\n<li>EEO job category (Clerical, Executive\/Admin\/Mgr, Faculty, Professional Non-Faculty, Service\/Maintenance, Skilled Craft, or Technical\/Paraprofessional);<\/li>\n<li>Faculty rank (Assistant Professor, Associate Professor, Professor, Lecturer, Instructor, Graduate Assistant, Staff, or Student); and\/or<\/li>\n<li>FLSA status (Administrative-exempt, Executive-exempt, Non-exempt, Partially-exempt, Professional-exempt)<\/li>\n<\/ul>\n<p>When using the Employee Group method, the employees are assigned based on a list that you manually create using the Employee Groups function in TrainTraq.<\/p>\n<p>In general, it is better to use Search Criteria if possible, because if an employee no longer meets one of the criteria to receive an assignment for a particular course, TrainTraq will not make the assignment to that employee.<\/p>\n<p>In contrast, if you use the Employee Group method to, for example, assign an employee to take a lab safety course\u2014and then the employee no longer works in a lab and you don\u2019t remember to remove him from the group\u2014the employee will continue to receive assignments to take the course even though he no longer works in a lab.\u00a0 Similarly, if a new employee starts working in a lab and you forget to add him to the lab safety training group, TrainTraq will not know that he needs to receive an assignment.<\/p>\n<p>However, sometimes it is impossible to use search criteria to identify employees who need a certain type of training, so you have to use an Employee Group instead.\u00a0 If you use an Employee Group, you will need to develop a process for periodically reviewing and updating the group members.<\/p>\n<h2>Employee Group Assignments<\/h2>\n<p>The Employee Group Assignments page allows you to assign courses, programs, and tasks to all employees in a selected employee group.<\/p>\n<p>When you use the Group Assignments function, TrainTraq assumes that you want every employee currently in the group to receive an assignment regardless of when an employee last completed the course, program, or task to be assigned.\u00a0 Therefore, you should carefully review the list of employees currently in the group to ensure that the list is accurate and up-to-date.\u00a0 If you want TrainTraq to take the most recent completion date into consideration, you need to work <a href=\"https:\/\/view.officeapps.live.com\/op\/view.aspx?src=https%3A%2F%2Fassets.system.tamus.edu%2Ffiles%2Ftraining%2FTrainingContacts.xlsx&amp;wdOrigin=BROWSELINK\">your Training Coordinator<\/a> to develop an assignment rule. You can check their Employee Group Membership on the Employee Dashboard page.<\/p>\n<p>The Group Description is visible on the Employee Dashboard, which lists all groups for which an employee is a member. Figure 1 shows an example of an Employee Dashboard for an employee who is in a biosafety-related group.\u00a0 In this example, the Group Description contains a description of the purpose of the group and a contact email.\u00a0 To make the assignments stop, contact the owner of the employee group and request they be removed from the group. An assignment rule consists of the following:<\/p>\n<ul>\n<li>A Unique Name<\/li>\n<li>The owning work station (TAMUS system member)<\/li>\n<li>A specific course or set of courses (i.e. &#8220;program) to assign<\/li>\n<li>A definition of a set of employees to which the rule will be applied. (described in more detail below).<\/li>\n<li>Is the assignment one-time, or is it recurring?<\/li>\n<li>If recurring &#8211; the recurring frequency (e.g. every 24 months)<\/li>\n<li>The time the employee has to complete the assignment.<\/li>\n<\/ul>\n<p>Early each morning the assignment engine performs the following steps for each assignment rule:<\/p>\n<ul>\n<li>Identify a set of employees (essentially a UIN list) that match the rule criteria.<\/li>\n<li>For one time assignments, the engine determines if the employee has already taken the course<\/li>\n<li>For recurring assignments, the engine determines if the employee has taken the class within the time specified on the assignment rule (e..g within the last 36 months).<\/li>\n<li>Determines if the employee is in an <a href=\"\/traintraq\/active-positions\">active position.<\/a><\/li>\n<li>The assignment engine will make the assignment to all employees who meet the above criteria.<\/li>\n<\/ul>\n<h2>Employee Sets<\/h2>\n<p>When the assignment rule is established, the rules define the set of employees to which the rules apply.\u00a0 The employee set can be defined in any of the following manners:<\/p>\n<ul>\n<li>An employee group.\u00a0 This is a custom group defined by a workstation or departmental processor.\u00a0 See the <a href=\"\/traintraq\/the-employee-groups-page\">help topic on employee groups<\/a><\/li>\n<li>Standard Search Criteria.\u00a0 The assignment engine allows you to specify search criteria to define the employee set.\u00a0 The criteria can be specified as follows:\n<ul>\n<li>One or many work stations (TAMUS system members)<\/li>\n<li>One ore many adlocs (departments)<\/li>\n<li>A specific EEO job category<\/li>\n<li>Faculty\/Staff\/Student Rank<\/li>\n<li>FLSA code (Exempt or non-exempt)<\/li>\n<\/ul>\n<\/li>\n<li>A custom SQL query.\u00a0 A highly specific group of employees based on external databases.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n","protected":false},"excerpt":{"rendered":"<p>TrainTraq makes assignments of required and other courses on a daily basis. Closing the <b>SCORM player<\/b> window after a course (assuming the course has been successfully completed) is what triggers the completion to record in TrainTraq. Once the <b>SCORM player<\/b> window is closed, log out of TrainTraq and Single Sign On (SSO) or continue taking courses. See <b>Figure 1<\/b>.<\/li>\n<li>Avoid using the <b>Forward <\/b>or <b>Back <\/b>buttons in the web browser as these actions may disconnect communication between the course and TrainTraq. In order for a completion to record, reopen the course and resume.<\/li>\n<li>TrainTraq will timeout after three hours. If this happens, close the course and resume.<\/li>\n<li>Taking online courses in older browsers such as Internet Explorer 6 will result in completions not recording properly. The recommended browser is Internet Explorer 7 or later.
